Privacy Notice
What this site collects, why, how long it is kept, and who to contact.
01What the site collects
Information you submit through forms: name, title, organization, work email, organization type, service interests, timeline, country and state where requested, callback details for incident requests, and the message or description you write. For The Acervus Brief: work email, sector, preferred language, and optional name, organization, selected interests, and regions.
The site sets no advertising or cross-site trackers and runs no chat widgets. Any analytics are limited to cookieless, aggregate measurement. Your color theme choice is stored in your browser only.
Engagement forms use Cloudflare Turnstile to help distinguish people from automated submissions. When enabled, Cloudflare processes technical browser and network information under its privacy policy. Acervus sends only the verification token, not your inquiry details, to the verification service. Tokens are short-lived and are not retained or included in inquiry emails.
For abuse prevention, the site keeps an hourly form request count associated with a keyed, non-readable digest of your network address. Free scans use daily counts associated with keyed digests of the email and network address. Counts expire at the end of their window and are removed when subsequent forms or scans are processed. Inquiry and subscriber details are not stored with them.
For a Free Exposure Scan, with your explicit consent, the site stores your work email, domain, scan observations, consent selection and time, email-confirmation status, and follow-up status. Ordinary public DNS and home-page requests are sent to the domain being checked. Where configured and permitted, the domain is sent to Have I Been Pwned to check known breaches. Scan results are not a newsletter signup.
02Why it is collected
- To respond to engagement, analytics, custom solutions, and incident requests.
- To send The Acervus Brief and occasional Acervus updates to those who subscribe and confirm by email, using selected interests, regions, and language to tailor daily news delivery.
- We never sell, rent, or share subscriber information.
03Retention
Engagement inquiries and sample-report requests are delivered by email and are not kept in a site database. Inquiries that do not lead to an engagement are retained only as long as needed to respond and to keep ordinary business records. Where an engagement follows, retention follows the engagement agreement. Subscriber details are held by Acervus's email provider. Unsubscribing stops newsletter delivery; a suppressed contact record may be retained to honor your opt-out. You can request deletion using the contact details below.
Consenting scan leads and results are the exception to email-only form storage. Unconfirmed scan records expire after 48 hours. Confirmed records support scan delivery and, only with separate consent, quarterly re-scans every 90 days. Re-scans stop after four updates without recorded engagement; each update includes an unsubscribe link. Inactive scan records are deleted after one year. Contact us to request deletion sooner.
The news service keeps public reporting metadata and cached headline translations for up to 30 days. To prevent duplicate emails, it keeps keyed, non-readable delivery identifiers and processing receipts for up to 45 days; these do not contain email addresses, subscriber profiles, or email bodies. AI classification and translation receive only public headlines and short feed excerpts, never subscriber details.
